Exim Bank Uganda is seeking a dynamic and detail-oriented professional to join its team as a Projects Officer. The successful candidate will support the planning, coordination, implementation, monitoring, and reporting of the Bank’s projects and process improvement initiatives, ensuring successful delivery in line with strategic objectives.

Position Details

Job Title: Projects Officer

Job Purpose

The Projects Officer will support the effective planning, coordination, implementation, monitoring, and reporting of the Bank’s projects and process improvement initiatives. The role will work closely with business units, technology, operations, procurement, finance, compliance, risk, vendors, and project teams to ensure projects are delivered on time, within scope, within budget, and in line with the Bank’s governance standards and strategic priorities.

Key Responsibilities

  • Support preparation of project charters, business cases, work plans, implementation schedules, and milestone trackers.
  • Coordinate project initiation activities, including stakeholder mapping, meeting scheduling, requirements gathering, and governance structures.
  • Track project deliverables, timelines, dependencies, and action items.
  • Support business units in translating strategic objectives into actionable project plans.
  • Assist in implementing technology, operations, branch, customer experience, regulatory, product development, process improvement, and transformation projects.
  • Coordinate cross-functional project teams to ensure timely and quality project delivery.
  • Escalate project risks, delays, resource constraints, and scope changes for timely resolution.
  • Support user acceptance testing (UAT), pilot rollouts, training coordination, issue management, and post-implementation activities.
  • Prepare project status reports, dashboards, meeting minutes, action logs, risk registers, issue logs, and decision logs.
  • Monitor project performance against approved budgets, timelines, deliverables, and expected benefits.
  • Track project outcomes, including cost savings, operational efficiency, customer experience improvements, compliance outcomes, and revenue impact.
  • Monitor project expenditure and report budget variances or funding gaps.
  • Support procurement processes, including quotations, purchase requisitions, contracts, invoices, and payment follow-ups.
  • Maintain project contract records, vendor performance records, and payment tracking documentation.
  • Maintain complete, accurate, and version-controlled project documentation.
  • Ensure project records comply with internal standards, audit requirements, regulatory expectations, and information security policies.
  • Prepare materials for steering committee meetings, management updates, and executive review sessions.
  • Coordinate communication between project teams, business units, senior management, vendors, and support functions.
  • Support change management initiatives through communication, training coordination, stakeholder engagement, readiness assessments, and feedback collection.
  • Ensure projects comply with banking policies, operational risk controls, compliance requirements, data protection standards, and internal approval procedures.

Qualifications

Applicants should possess:

  • A Bachelor’s Degree in Business Administration, Project Management, Finance, Information Technology, Economics, Statistics, Engineering, or a related field.

Additional qualifications such as the following will be an added advantage:

  • PRINCE2
  • PMP
  • Agile Certification
  • Scrum Certification
  • Business Analysis Certification
  • Lean Six Sigma
  • Any relevant postgraduate qualification in Project Management

Experience

Applicants should have:

  • 2–4 years of relevant experience in project coordination, project management support, business analysis, operations, strategy execution, technology implementation, or process improvement.
  • Experience in banking, financial services, fintech, consulting, telecommunications, or another regulated industry is an added advantage.

Key Skills and Competencies

  • Good understanding of project management principles, governance, and project lifecycles.
  • Ability to develop and maintain project plans, dashboards, reports, trackers, and documentation.
  • Knowledge of banking operations, digital channels, customer service processes, compliance, operational risk, and internal controls.
  • Proficiency in Microsoft Office applications, particularly Word, Excel, PowerPoint, Outlook, Microsoft Teams, and project tracking tools.
  • Excellent communication, stakeholder management, and relationship-building skills.
  • Strong attention to detail, accountability, and commitment to quality.
  • Ability to work under pressure, manage multiple assignments, and meet tight deadlines.
