Job Summary
The Estates Assistant will provide hands-on support to ensure the smooth operation, maintenance and effective management of UNOC office facilities.
Key Responsibilities
- Respond to maintenance requests and coordinate repairs.
- Conduct routine inspections and proactively identify facility issues.
- Ensure offices are safe, functional and compliant with health and safety standards.
- Assist with setting up and reconfiguring office spaces.
- Coordinate with vendors and contractors for furniture, equipment and utilities.
- Oversee daily operations at various office sites.
- Ensure site-specific issues are addressed efficiently.
- Maintain records of leases, service contracts and compliance documentation.
- Support budgeting, expense tracking and reporting.
- Ensure estate-related activities comply with legal and organizational requirements.
- Maintain documentation for audits and inspections.
- Facilitate planned preventive and corrective maintenance.
- Perform any other duties assigned by the supervisor.
Qualifications and Experience
- Ordinary Diploma in Architecture, Mechanical Engineering, Civil Engineering, Construction Management or a relevant discipline.
- At least 3 years of hands-on experience in electrical, construction or mechanical works, contractor/service provider supervision or site supervision.
- Experience in estates and utilities management and supervision is essential.
- Knowledge of procurement and supplies management is an added advantage.
- Working knowledge of office management systems and equipment.
- Proficiency in MS Word, Excel, PowerPoint and Outlook.
Skills and Competencies
- Knowledge of electrical, plumbing and HVAC systems.
- Familiarity with facilities management tools.
- Excellent communication and problem-solving skills.
- Ability to multitask across multiple sites.
- High integrity and self-discipline.
